How We Manage Your Project
Clear stages from your first drawings to handover.
At Marwells, we manage your project through a clear sequence of quotation, technical review, contract, preparation, construction and handover. You can see what happens next, what information we need and what you should receive at each stage.
Our process combines structural engineering input, documented inspections and weekly client updates. We use our QHSE portal to organise project records and can share selected project documents with you through SharePoint.

Send your drawings for a quotation
We start by understanding what you want to build and the information already available. Send us your Building Control drawings, often called BC drawings, and your Structural Engineer drawings, or SE drawings. Please include the latest versions so we can assess the same proposal as your project team.
Tell us the property address, the type of project and the work you would like us to include. It helps to know whether you are looking for a structural shell or a package that includes further stages and finishes. If you are still developing the design, explain which decisions remain open.
During the take-off, we use the drawings to identify the principal quantities and work items for our quotation. We consider the proposed construction and the information needed to price the agreed scope. Access arrangements, the existing building and any work outside the drawing package may need clarification.
Once we have the relevant drawings and project information, we aim to get back to you within two to three working days. If something material is missing or needs investigation, we explain what is needed and how that affects the quotation. We identify the basis of our price and any allowances or exclusions so you can review the proposal clearly.
Information to include
- Latest Building Control drawings and their revision details.
- Structural Engineer drawings and calculations available for the proposed work.
- Project address, access information and a brief description of your priorities.
- Relevant specifications, finishes and any client-supplied items.
- The scope required from Marwells, including whether you want a shell package or later stages.
- The current position on approvals and any decisions still to be made.
Review the technical recommendations
After we agree the headline quotation price, we share the recommendations of our structural engineer and construction team. We have a structural engineer on board, allowing us to discuss the structural requirements alongside the practicalities of carrying out the work.
This review considers how the proposal can be built on your site. Depending on the project, the discussion may cover foundations, structural supports, connections to the existing building, roof details, cladding and the sequence of work. We also identify decisions that need to be settled before materials are ordered or construction begins.
Where a recommendation affects the design, we coordinate the question with the appropriate designer or structural engineer. We explain the purpose of the recommendation and any effect on the proposed scope, specification, cost or programme. You can then consider the options with the relevant information in front of you.
If the review leads to a change, we agree and record it before finalising the contract details. This stage gives us a shared understanding of what is being built, which drawings apply and who is responsible for any remaining technical information.
Agree the detailed contract
We provide the detailed quotation and scope of work at the contract stage. You can review the agreed package, responsibilities and commercial arrangements before the start is confirmed. A shell package and any later work are identified separately in the scope.
Your contract pack
- Scope and price
- The work included, specifications, allowances, exclusions and VAT treatment.
- Responsibilities
- Client-supplied items, design information, third-party appointments and agreed interfaces.
- Commercial arrangements
- Payment stages and the procedure for agreeing changes.
- Insurance and guarantee
- Relevant insurance information and the guarantee duration, cover, conditions and exclusions.
- Programme
- The agreed stages, assumptions, client decisions and completion milestone.
We also share our relevant insurance information and the guarantee terms that apply to your project. Our guarantee is usually ten years, but the duration and cover depend on the agreed work and written terms. The contract explains the scope of cover, relevant conditions and any exclusions. The guarantee is documented separately from our insurance cover.
Prepare the site and programme
During pre-start and mobilisation, we prepare the site and organise access, deliveries, working areas and protection for the parts of your property affected by the work. We discuss practical matters such as access to occupied rooms and any planned interruptions, so you understand how construction will fit around the property.
We arrange the Building Control site visit and coordinate the relevant inspection stages with the programme. Checks that need to happen before work is covered are considered in the sequence. We also share the time schedule, showing the main stages, dependencies and decisions required from the project team or client.
Before work starts, we confirm the position on the approvals, appointments and site information relevant to the agreed works. Planning permission and building regulations approval are separate matters, and a project may need both. Inspection arrangements are coordinated with the appointed building control body.
During mobilisation, we agree which documents will be shared through SharePoint and the communication arrangements for your project.
Construction and regular updates
Our in-house work covers groundworks, structural and substructure works, roofing and cladding. Decorating, carpentry and other second-fix works are organised through outsourced trades as agreed in the scope. We coordinate the sequence so the different parts of the project can progress together.
Our team checks work against the relevant drawings and specification as construction proceeds. We coordinate the involvement of our structural engineer, Building Control and other relevant parties where their input is needed. Inspection findings and matters requiring clarification are recorded so the team can follow up on them.
We share a weekly progress report with you. This explains what has been completed, what is planned next and any decisions or issues affecting the programme. If a proposed change affects scope, cost or timing, we explain the implications and seek the necessary agreement before proceeding with that change.

QHSE and Quality Inspections
How Quality Checks Are Followed Through
We use our QHSE portal for documentation across all our projects. QHSE stands for quality, health, safety and environment. Our records include project documentation, inspection records, daily site reports and health and safety documents. Keeping this information organised supports our team as construction moves from one stage to the next.
We explain quality in two parts. Quality assurance is the planning and organisation that helps the work meet its intended requirements. Quality control is checking the work itself against the relevant details. Both matter: a clear plan gives the team something to follow, and checks help identify items that need attention.
An Inspection and Test Plan, or ITP, brings specified checks into a project plan. It can identify what needs checking, when the check happens, who is involved and what evidence is required. Some checks may need to happen before the next activity starts or before an important detail becomes hidden.
Where an inspection identifies an item requiring attention, we record the issue and the action needed, arrange the relevant follow-up and check the result. Required hold points and external inspections are respected before the affected work is covered or the next stage proceeds. Our internal checks support the project's inspection process; any statutory approval or certificate remains with the relevant authority or authorised provider.

Checks at each construction stage
These examples are project dependent: the agreed scope and technical information determine the checks, evidence and people involved.
Programme
Structural Shell and Full Completion
- Structural shell 2 to 3 weeks* Typical target for suitable extension, loft and summer house scopes
- Fit-out and finishes Remaining work follows the agreed project scope and programme
- Final checks and handover Related certificates, agreed documents and completion arrangements
* The shell target is not the duration of the full project. Site readiness, design, access, weather, deliveries and inspections affect timing.
For suitable extensions, loft conversions and summer houses, our typical target for the agreed structural shell stage is 2 to 3 weeks once the necessary preparation, design information and materials are in place. The target and its starting point are confirmed for your particular project.
Your contract defines the shell package. Depending on the agreed scope, it may cover groundworks, substructure, the main structure, roof works and the specified external enclosure. A structural shell is a construction milestone: internal fit-out, later trade work, finishes, testing and handover may remain.
What can affect the programme
- Project size, complexity and the condition of the existing building.
- Ground conditions, access and readiness of the site.
- Availability of design information and specified materials.
- Weather, inspection arrangements and decisions affecting the sequence.
Handover and aftercare
As the agreed work reaches completion, we review it with you and explain what has been delivered. We identify any outstanding items clearly and agree how they will be resolved. The handover relates to the scope you commissioned, whether that is a structural shell or a package including later stages and finishes.
We hand over the related certificates and project information relevant to the work completed. Where a building control completion or final certificate is applicable, it is issued through the relevant building control process and is distinct from our own inspection records.
If a concern arises after handover, contact us with the project reference, a description of the issue and relevant photographs where appropriate. We review it against the completed scope and the aftercare or guarantee terms applying to the project.
